New patients answered, even mid-session.

Reception is busy checking patients in, and after hours nobody answers at all. KookaDesk picks up missed calls, emails and website enquiries within 60 seconds, 24/7, takes new-patient booking requests with preferred times for you to confirm by replying with a number, and answers admin questions – fees, parking, health funds, referrals – from information you approve.

Why clinics miss new patients

Calls arrive during treatment

Small clinics can't stop a session to answer, and new patients book elsewhere.

Evenings and weekends

Many people search for a physio outside clinic hours.

The same admin questions, all day

Fees, health funds and referrals take reception time that could go to patients in the room.

How it works for physiotherapy clinics

Set up in about 48 hours, wherever you are in Australia. You keep your number, your phone and how you work.

STEP 1

Divert missed calls

A short diversion code sends calls you don't answer to your KookaDesk line. The codes are the same nationwide on Telstra, Optus and Vodafone (see the guide). We connect your email and website form too.

STEP 2

It answers in your name

It says up front it's your AI assistant, asks your questions, and only gives the answers and prices you've approved for your area.

STEP 3

You reply with a number

You get a text with the job and the customer's preferred times. Reply with a number to confirm – for example Reply 1 for 2pm, 2 for 4pm. The customer gets an SMS confirmation and an email copy goes out for the record. No links to tap; calendar sync is optional.

What it asks your customers

  • New or existing patient, preferred practitioner
  • General reason for visit (no diagnosis or clinical advice)
  • Referral type if any – GP care plan, workers compensation, CTP, DVA
  • Private health fund (for information only)
  • Preferred days and times
  • Contact details and consent to be contacted

No clinical advice. Privacy built in.

It never diagnoses or gives treatment advice. If a caller describes serious symptoms, it tells them to call 000; for general health advice it can mention healthdirect (1800 022 222) or your state's nurse line, such as 13 HEALTH in Queensland. Health information is sensitive under the Privacy Act, so it collects only what's needed to book.

National registration, state schemes

Physiotherapists are registered nationally through the Physiotherapy Board of Australia (AHPRA), but workers compensation and CTP schemes are run by each state and territory, with their own claim and approval steps. The assistant records the scheme, claim number and case manager details if the caller has them, and leaves the rest to your team.

Frequently asked questions

How much does an AI receptionist cost for a physio clinic?

KookaDesk is A$199, A$349 or A$549 per month +GST depending on call minutes (300, 600 or 800) and features, the same price in every state. There's a 7-day free trial with up to 100 minutes (cancel anytime before day 7 and you won't be charged), and the setup fee is waived for our first 3 founding customers.

Does it book into Cliniko, Nookal or Splose?

By default it texts you the booking request and you reply with a number to confirm. If you use practice software, tell us during your trial and we'll confirm what's possible before you pay.

Will it give treatment advice?

No. It answers only the admin questions you approve and refers anything clinical to your practitioners or emergency services.

Does it work in my time zone?

Yes. KookaDesk runs in every Australian time zone – AEST/AEDT (NSW, VIC, TAS, ACT), AEST all year in Queensland, ACST/ACDT (SA) and ACST (NT), and AWST (WA). Your business hours, after-hours rules and the times it offers callers are all set in your local time.

Will callers know it's an AI?

Yes. It says it's your business's AI assistant at the start of every call and tells callers the call may be recorded, with the option to leave a message without recording instead.

Do we keep our clinic number?

Yes. You divert unanswered or after-hours calls to your KookaDesk line.
