12 questions to ask before choosing an AI receptionist

Published 16 October 2026 · By the KookaDesk team

There are now many AI receptionist providers selling to Australian small businesses. They sound similar on their homepages, but the details – minutes, extras, contracts and how the AI behaves on a tricky call – vary a lot. Use these questions to compare.

KookaDesk provides an AI receptionist service. These are the questions we'd ask any provider, ourselves included – our answers are at the end so you can compare.

1. Does it say it's an AI?

Callers should know who they're talking to. Ask exactly what the greeting says.

2. How are calls recorded and how is consent handled?

Ask whether calls are recorded or transcribed, how callers are told, and whether they can opt out. Recording rules vary between states, so get advice if unsure.

3. Where is call data stored, and who can access it?

Ask where recordings, transcripts and customer details are kept, how long for, and whether you can export or delete them.

4. What exactly does it say about prices?

It should only give prices you've approved. Ask how you set them and what happens when a caller asks for something not on the list.

5. How does it handle emergencies?

Gas smells, electrical danger, someone hurt – it should direct callers to 000 or the right emergency line and alert you, not try to help.

6. What happens when it doesn't know the answer?

Good answers: it takes a detailed message, books a call back or transfers to you. Bad answer: it guesses.

7. How many minutes are included, and what's the overage rate?

Work out your real monthly call minutes. Check whether minutes are counted per second or rounded up per call.

8. Is SMS to you and your customers included?

Some providers charge extra for text summaries or confirmations.

9. Does the trial need a card, and does it auto-renew?

Check exactly when the trial ends and how to cancel before you're charged. A short trial with a clear cancel-by date and no lock-in contract is the low-risk option.

10. Is there a setup fee, lock-in or notice period?

Look for month-to-month terms and a clear notice period.

11. Who sets it up – you or them?

Self-serve can be cheaper; done-for-you saves your evenings. Ask who writes your call questions and tests them.

12. Does it work with your tools?

Calendar, job management (ServiceM8, Tradify, simPRO, Fergus) or clinic software (Cliniko). Ask for specifics, not 'integrates with everything'.
