AI receptionist for Sydney myotherapy & massage clinics

Hands on a client? KookaDesk takes the booking request.

You can't stop a treatment to answer the phone, and new clients often book whoever replies first. KookaDesk answers missed calls, emails and website enquiries within 60 seconds, 24/7, takes booking requests with preferred times for you to confirm by replying with a number (for example, Reply 1 for 6pm, 2 for 7pm), handles reschedule requests and answers common questions about sessions and health fund rebates – exactly as you've set them.

This is our Sydney page, with Sydney suburbs and contacts. KookaDesk serves myotherapy and remedial massage clinics right across Australia, in every time zone – see AI receptionist for myotherapy and remedial massage clinics in Australia.

Why clinics lose bookings between sessions

You're with a client every hour

Phones ring mid-treatment. Callers who reach voicemail often try the next clinic on Google.

Evening and weekend enquiries

Many people look for a massage or myotherapist after work. If nobody replies until the next morning, the slot is already booked elsewhere.

Cancellations leave gaps

Last-minute cancellations are lost income unless someone re-offers the slot quickly.

How KookaDesk works for myotherapy and remedial massage clinics

Set up in about 48 hours. You don't change your number, your phone or how you work.

STEP 1

Divert missed calls

Set a short diversion code so calls you don't answer go to your KookaDesk line (how diversion works). We connect your email and website form too.

STEP 2

It answers in your name

It says up front it's your AI assistant, asks your questions and only gives answers and prices you've approved.

STEP 3

You confirm, they get an SMS

It texts you a short summary with the customer's preferred times. Reply with a number to confirm – for example, Reply 1 for 2pm, 2 for 4pm. Once you confirm, the customer gets an SMS confirmation, and an email copy goes out for the record. No links to tap: just reply with a number. No calendar connection or software install needed – Google or Outlook sync is optional.

What it asks your customers

  • New or existing client, and preferred practitioner
  • Type and length of session – remedial, myotherapy, sports, pregnancy, dry needling (if offered)
  • Reason for visit in general terms (no detailed health history over the phone)
  • Preferred day and time, from your live availability
  • Whether they want to claim with private health insurance
  • Contact details for confirmation and reminders

Health questions handled carefully

The assistant does not give clinical advice or diagnose. If a caller describes symptoms like chest pain, sudden weakness or numbness, or a serious injury, it tells them to call 000, and for general health advice it can mention healthdirect on 1800 022 222.

It only states health fund rebate information you've confirmed (for example, whether your practitioners are registered with particular funds) and tells clients to check their own cover with their fund. Health information is sensitive information under Australian privacy law, so it only collects what's needed to book.

How a call starts

The first few lines of a typical call for a made-up business. The assistant always says it's an AI.

Sample call (demo business)
AI assistant

Hi, thanks for calling Demo Myotherapy Sydney. I'm the clinic's AI assistant – our practitioners are with clients. This call may be recorded. Are you an existing client, or would this be your first visit?

Caller

First visit. My lower back's been tight for a few weeks.

AI assistant

Sorry to hear that – we can arrange an assessment. Do you prefer a weekday evening or a weekend? I'll pass that on and you'll get an SMS to confirm the time.

…the assistant takes the caller's name, mobile, suburb, access details and preferred times, then says: "I'll text the owner now, and you'll get an SMS to confirm the time shortly." The owner gets a summary and replies with a number to confirm (for example, Reply 1 for 2pm, 2 for 4pm). No links to tap: just reply with a number.

Frequently asked questions

How much does an AI receptionist cost for a myotherapy or massage clinic?

KookaDesk is A$199, A$349 or A$549 per month +GST depending on call minutes (300, 600 or 800) and features. There's a 7-day free trial with up to 100 minutes (cancel anytime before day 7 and you won't be charged), and the setup fee is waived for our first 3 founding customers.

Do I need to connect my booking system?

No. By default it takes the client's preferred times and texts you a summary. Reply with a number to confirm – for example, Reply 1 for Tuesday 6pm, 2 for Wednesday 5pm. The client then gets an SMS confirmation, and an email copy goes out for the record. No links to tap: just reply with a number. Google or Outlook calendar sync is optional. If you use clinic software such as Cliniko, tell us during your trial and we'll confirm what's possible before you pay anything.

Will it talk about health fund rebates?

Only the facts you give it, such as which funds your practitioners are registered with. It always tells clients to confirm their cover with their fund.

Can it handle cancellations?

Yes. It records the cancellation according to your policy and can re-offer the freed slot to the next caller.

Will customers know it's an AI?

Yes. It says it's your business's AI assistant at the start of every call and tells callers the call may be recorded, with the option to leave a message without recording.

Does it give treatment advice?

No. It's a receptionist, not a clinician. It takes booking requests and passes questions to your team.
